About:

Vitera is a Science-Based Supplements company and it is our mission to create proven, effective and unique supplements by using the latest research findings. We are the first to have a Doctor-Approved weight management supplement in Malaysia, with rapid expansion plans for next year which includes diversifying our supplement range into Health and ultimately Fitness. These plans include further regional expansion across S.E.A, as we are currently selling in Malaysia, Singapore and Brunei.

Responsibilities

1. Documentation

Maintain accurate and up-to-date records of important documents, contracts, and agreements
Create POs and other documentation
Store invoices, POs, and all other soft/hard copies of documentation
Store and calculate claims, receipts, monthly bills

2. Admin Support:

Provide administrative assistance to various departments as needed
Handle correspondence, emails, and phone calls, ensuring effective communication within the organization
Forward emails to relevant teams for action
Schedule and coordinate meetings, including room setup, and agenda preparation
Assist in HR-related tasks, including onboarding, and employee documentation

3. Finance Support

Keep track of pending payments and all outgoing payments
Maintain up-to-date record of payments history
Provide accountants with any required documents

4. Office Management

Ensure a clean and organized working environment conducive to productivity
Keep track and purchase office supplies
Make bookings, reservations, etc.
Arrange office cleaners, gardeners, pest control, etc.
Support the planning and execution of company events and seminars

5. Supply Chain:

Inventory management
Coordination with suppliers and vendors for delivery of goods/services
Handle procurement processes

6. Personal Assistance Support:

Work and general tasks for CEO

Requirements:

Strong Excel/Google Sheets skills
Minimum 3 years experience in relevant fields
Professional capability for English and Bahasa Malaysia
Experience in Bookkeeping (supporting accountants)
Detailed orientated
Proactive, dedicated and responsible
Want to level up their career
